Ping. A notification pops up on your phone – you’ve received a job alert though Encore. It’s a month away, excellent pay, and you know your band would be perfect for the job. You craft your covering note, send your application and eagerly wait for the client’s response. A few days pass, you check your phone… nothing. The event date is getting closer – but still nothing from the client…
Client unresponsiveness is something that a number of our members experienced recently, so we’ve been built an update to help solve this problem. With our new job expiry time feature, we’ve made sure that you as a musician are never left in the dark about whether or not a client wants to book you.
Here’s how it works
When a client lists a job on Encore, they have a certain period of time in which to send a booking request to a musician before the job expires and is removed from the Encore site.
When a job expires all musicians who have applied will be instantly notified by email, so you’ll never be left wondering if a client has gone cold or not.
This time is set intelligently based upon how far away the event date is, in order to respect the client’s expected decision time. For example, if a job is added 6 months in advance of the event, then the client has a month to decide who they’d like to book before the job is expired, but this decision period is much shorter if the client makes a last minute enquiry.
Though we’re keen to encourage clients to come to a decision about their booking, the last thing we want to do is pester them too much and lose our musicians bookings. So we’ve made it as easy as possible for clients to let us know if they need more time. In our prompting emails, they simply need to click a button labeled “Keep my enquiry open”, and their expiry time is extended.
Booking request expiry time
We’re proud to say that Encore members tend to be fast responders to clients, but we also want to make sure that clients aren’t left hanging – so we’ve introduced an automatic expiry time for Booking enquiries. From now on, when you receive a booking enquiry you’ll have 48 hours in which to accept or decline the request before it expires. We’ll send you two reminder emails before this happens to make sure you don’t miss it.
If you accidentally let a booking request expire, the client will still be able to book you, but you’ll just need to ask them to send another request.
